Automation consulting in Denver: what it is, what it costs, and how to hire one

The term gets used for everything from a slide deck to a software license. Here's what an automation consultant actually does, what a real engagement looks like, and the questions that separate a builder from a reseller.

"Automation consulting" is a phrase that covers a lot of ground, and not all of it is worth paying for. Some firms sell you a process map. Some resell a software license and call the setup consulting. A few actually build the thing.

If you run a business in Denver and you're looking at this category, here's the plain version of what you're buying, what it should cost, and how to tell the difference before you sign anything.

What an automation consultant actually does

Strip out the language and the job is three things.

Find where the time goes. Most owners can name the thing that's killing them. Fewer can name the second and third, which is usually where the cheaper wins are. This part is mapping how work actually moves through the business, not how the org chart says it does.

Decide what's worth automating. This is the part that earns the fee. Plenty of processes look automatable and aren't, either because they change too often, because the data is too messy, or because the system they live in has no way to talk to anything else. A good consultant tells you which of your ideas to drop.

Build it and keep it running. A recommendation is not a result. If the engagement ends with a document, you've bought analysis and you still have all the same manual work.

Consulting versus just buying software

A fair question, since a lot of automation tools now market themselves as no-code and ready to go.

The tools are genuinely good. Zapier, Make, and the rest can connect a surprising amount without a developer. If your need is "when a form is submitted, add a row to a spreadsheet and send an email," you do not need a consultant. Go build it this afternoon.

Where it breaks down is the exceptions. Real business processes have branches. The lead is a repeat customer, so it routes differently. The invoice is over a threshold, so it needs approval. The system you need to write to has no proper API and the vendor's export is a CSV with inconsistent headers. That's where a two-hour automation becomes a two-week one, and it's most of what we get called about. The short test: if you can describe the whole process in one sentence with no "unless," buy the software. If describing it takes a paragraph and three exceptions, that's a consulting problem.

What a real engagement looks like

Reasonable structure, and roughly how we run it.

An audit first. One to two weeks. Someone gets inside the systems you actually run, tests what they can support, and comes back with a ranked list of what's feasible, what isn't, and what each build costs at a fixed price. The point is that you get a real number before committing to a build, and you keep the findings whether or not you continue.

Then a build, scoped tight. One thing that fixes one expensive problem, priced fixed, shipped in weeks rather than quarters. Not a platform. Not a transformation. The first build should pay for itself before there's a second one.

Then someone owns it. Automations sit on top of software that changes on someone else's schedule. APIs deprecate, a vendor changes a field name, a model gets retired. Something has to cover that or the system quietly rots. That's what managed AI services covers, and it's the difference between an automation that compounds and one you stop trusting in month four.

What it costs in Denver

Numbers vary by shop, but the shape is consistent across the Front Range.

A scoped audit runs roughly $1,000 to $2,500. Individual builds usually land between $1,000 and $5,000 depending on how many systems they touch and how cooperative those systems are. Larger multi-system workflow builds go higher. Ongoing management of live automations is a monthly plan, commonly $250 to $1,500 depending on how much is running.

Be careful with anyone quoting a large number before they've seen your systems. Feasibility is the entire question in automation work, and nobody can price it honestly from a discovery call alone. Be equally careful with hourly arrangements on a project with no defined end, which is how a $3,000 automation becomes a $12,000 one.

Five questions that sort builders from resellers

What have you built that's running right now? Not a case study PDF. Something live, ideally something you can look at.

What did you tell a client not to automate? Anyone who has done this work has talked someone out of something. If every idea is a great idea, you're talking to sales.

Who owns the automation when we're done? You should own the accounts, the credentials, and the logic. If leaving means losing the system, you're renting.

What happens when the API changes? The answer reveals whether they've maintained anything long term or only shipped and moved on.

What's this going to cost when it's finished? A fixed number for a defined scope is a reasonable thing to expect. Vagueness here is the single most reliable warning sign in the category.

When you don't need one

Worth saying plainly, since it applies to a lot of businesses that search this term.

If your process changes every month, automate it later once it settles. If the task takes fifteen minutes a week, the automation will cost more than it saves. If your data lives in one system and never has to leave it, that vendor's built-in features are probably enough. And if you haven't written down how the process works, start there. Nobody can automate a process that only exists in someone's head.

The Denver part

Most automation work happens over calls and shared screens, so being local isn't strictly necessary. It does help in one specific way: someone who can sit in your shop and watch the actual workflow for an hour will find things no discovery questionnaire surfaces. The step someone does twice because the first system doesn't talk to the second. The sticky note on the monitor that's load-bearing.

Start with one expensive, repetitive, rule-based process. Get a fixed price. Make the first build pay for itself. Then decide whether there's a second.
