AI services for small businesses: what we build, and when you need each

Nobody needs "an AI strategy." You need one or two specific systems that fix the thing costing you time or leads right now. Here's everything we build, what each one does, and the signal that tells you it's the one to start with.

When an owner asks what we do, the honest answer is that it depends on what's broken. We build custom systems, not a one-size box, and the right one is whichever fixes the most expensive gap in how your business runs today. Below is the full list, written so you can find your own problem in it.

Lead pipeline and routing

What it does: the moment a lead comes in from a form, a call, or a message, it gets an instant reply, gets scored by how hot it is, and gets routed to the right place in your CRM. Returning customers get flagged. You open a sorted, prioritized list instead of a full inbox.

You need this if: leads pile up in a shared inbox and some sit for days before anyone answers. We built exactly this for Mountain Yotas, an off-road shop in Wheat Ridge whose leads were dying in the inbox for weeks.

AI chatbots

What it does: a branded assistant on your site that answers the questions you get asked all day and captures leads around the clock, then hands them to your pipeline. It can start a quote, book a consult, or point a visitor to the right next step instead of letting them leave.

You need this if: you're answering the same handful of questions over and over, or people land on your site at night and leave with nowhere to go. See how our chatbot works.

AI voice agents

What it does: it answers the calls you can't pick up, takes down who's calling and what they need, and routes it in so the lead doesn't vanish into a voicemail nobody checks.

You need this if: calls ring out while you're on a job, and a missed call usually means a customer who called the next shop on the list. More on AI voice agents.

Workflow automation

What it does: it removes the manual copy-paste steps between your tools. A form gets filled out, and the information lands in your CRM, your email, and your calendar without anyone retyping it. The boring connective work happens on its own.

You need this if: you or someone on your team spends real time every day moving the same information between apps by hand.

Quoting, scheduling, and invoicing

What it does: drafts quotes from a few inputs and prices them consistently, handles booking and reminders, and sends invoices without the manual chase. This is the core of airquote, the platform we built for contractors that now runs this daily for 50+ of them.

You need this if: quotes eat your evenings, no-shows cost you slots, or invoices go out late because nobody has the time to send them.

Customer follow-up

What it does: it keeps leads and jobs from going cold. A timed follow-up after a quote, a reminder before an appointment, a review request right after a win, each one sent automatically at the moment it matters.

You need this if: deals stall after the first conversation, or you know you should be asking for reviews and never get around to it.

Custom AI tools and software

What it does: when nothing off the shelf fits how you actually work, we build it. That's the whole origin of airquote: we took it from zero to a working product in about five weeks, and it's in daily use now. If your business runs on spreadsheets and workarounds you've outgrown, this is the path.

You need this if: you've hit the limit of duct-taped tools and need something built around your real process, not the other way around.

Which one to start with

Start with the bottleneck that's costing you money today, not the most impressive tool. For most local businesses that's lead response or missed calls, because the leads are already coming in and a share of them are leaking out the bottom. Fix the leak that already exists, prove the return, then build from there. If you want the longer version of where to begin, we wrote it up for Denver small businesses.

If you want a straight read on which of these fits your business, tell us how you run things through the get-started form. We'll point you at the one that pays back fastest, even if the honest answer is just one.
